The Philosophy
Email is still how business actually gets done. Clients, retention, CS, bills, vendors, contractors, legal. Everything your business needs to survive accumulates there.
That said it brought headaches. "Where's that reply with that detail?" "Where's that doc?" "How do I write a summary of this task from 3 email threads, 7 people, and dozens of replies?" "Where's the invoice?".
Work management and CRM apps want you vendor locked to their product, but they don't address the reality of the inbox. It is the glue.
The Problem
We're not replacing email anytime soon.
My business interacts with hundreds of people using every email platform: Gmail to Outlook to ProtonMail to Yahoo. Attachments scattered throughout replies.
Platforms like Jira, Monday, ClickUp, and Asana have tried to address this, but they created an email dump in a task.
The attachment loss and attach to task bugs, plugins, extensions, aka points of failure. These are platforms' native solutions.
Lastly, the folks selling workflows with zaps and n8n. More points of failure with the extra cost, setup, and learning curve.
The Solution
Do not fight the inbox. Be like water.
I get a unique address to forward my emails to from Casso. I save it as a contact. I never login to Casso unless I'm adding a team member.
When I forward an email:
- AI reads the email and replies
- Creates a task with a real summary, not a dump
- Extracts deadlines from "need this by Friday"
- Saves attachments to the task
- Puts email and replies as comments so I have the full thread
- Detects urgency from "ASAP" or "critical"
I don't leave my inbox. I don't copy/paste. I don't login to another app.
I just forward. The task appears in my PM tool.
When I need that same task updated, I get the ticket number from the confirmation email Casso sent me and paste ticket:xxxxx into the subject line.
This tells Casso this is an update. It adds the new attachments and comments without disturbing any summary edits or files you've added, and without creating duplicates.
I use this to add entirely different but relevant emails to the same task, or grab a reply from another thread that has a file I need attached.
The Result
Last week I had a client send scope in one thread and assets in another. Two forwards, same task, everything organized. I spent maybe 2 minutes.
